This policy explains what personal information we collect through photoboothbyzee.com and at our events, how we use it, and the choices you have. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law.
1. Information we collect
Information you give us
When you contact us, request a quote or book a booth, we may collect:
- Your name, email address and phone number
- Event details such as the date, time, venue, city, guest count and event type
- Billing information needed to process deposits and payments
- Files you send us, such as logos, brand guidelines or mood boards
- Messages you send by email, phone, text or WhatsApp
Information collected at events
When guests use our booths, we capture photos, videos and audio messages (for the Audio Guest Book). If a guest chooses to send a copy to themselves, we collect the email address or phone number they enter for that purpose.
Information collected automatically on our website
Like most websites, we use cookies and similar technologies, including Google Analytics and Google Search Console, to understand how visitors use our site. This may include your IP address, browser type, device information, pages visited and how you arrived at our site. This data is used in aggregate to improve our website.
2. How we use your information
We use personal information to:
- Respond to enquiries and prepare quotes
- Plan, deliver and support your booked event
- Process payments and keep business records
- Deliver photos, videos and recordings to you and, where requested, to your guests
- Improve our website and services
- Send you information you’ve asked for. We won’t send marketing messages without your consent, as required by Canada’s Anti-Spam Legislation (CASL).
3. Event photos, videos and recordings
- Images, videos and recordings captured at your event are delivered to you, the client, through an online gallery or download link.
- We may use event photos and videos in our portfolio, on our website and on social media, unless the client asks us not to. Clients can opt out at any time by emailing info@photoboothbyzee.com.
- Photos taken with the AI photo booth add-on are processed only to create the enhanced image and deliver it to the guest and to the event gallery.
- Guests who prefer not to appear in shared galleries can contact us to request removal.
4. Sharing your information
We don’t sell your personal information. We share it only:
- With service providers who help us operate, such as website hosting, payment processing, online gallery and file-delivery platforms, email and analytics providers. They may use it only to provide services to us.
- When required by law, or to protect our rights or the safety of others
- With your consent
Some of our service providers may store information outside Canada, including in the United States, where it may be subject to the laws of that country.
5. How long we keep it
We keep personal information only as long as needed for the purposes above, or as required by law (for example, tax records). Event galleries are not stored indefinitely, so we recommend downloading and saving your files once you receive them.
6. How we protect it
We use reasonable physical, administrative and technical safeguards to protect personal information against loss, theft and unauthorized access. No method of transmission or storage is completely secure, but we work to protect your information.
7. Cookies and analytics
You can control cookies through your browser settings, and you can opt out of Google Analytics using Google’s browser add-on. Disabling cookies may affect how some parts of the site work.
8. Your rights
You may ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to certain uses (subject to legal or contractual limits). To make a request, contact us using the details below. We’ll respond within the timelines required by law.
9. Children
Our website is not directed at children. Photos of minors taken at events are delivered to the event host, who is responsible for sharing them appropriately.
